<p>As an admin user, you can customise the entry list table for each award project. This allows you to control which columns are visible and in what order, so your team sees the most relevant information during the entry review process. In order to customise the Entry List Table:<br><br>Step 1: Log in and open your award project</p>



<ol start="1" class="wp-block-list">
<li>Log in to <strong>Nucleus</strong> using your admin credentials.</li>



<li>From the left-hand menu, go to <strong>Awards &amp; Projects</strong>.</li>



<li>Find your award project by scrolling or using the search bar.</li>



<li>Click <strong>View Entries</strong> on the relevant project.</li>
</ol>



<p>Step 2: Making questions available for the Entry List Table<br><br>Before you customise the table, you may wish to make certain form questions available as potential columns. To do this, go to <strong>Form Setup</strong>, open the relevant question, and in the <strong>Options</strong> section, toggle Yes/No <strong>Include as Customisable Column Select for Admin Entry List Table</strong>. When Toggled as Yes, the question will appear as a selectable field when choosing Column Values during table customisation.</p>



<p>It is worth noting that <strong>Media Library Item question</strong>s appear twice in the column selector once they become available to add. This differs from other question types and is due to the system offering two visualisation options. One option displays the media item’s thumbnail image, while the other shows a clickable <strong>Show</strong> or <strong>Watch</strong> button, allowing the Admin to open and view the file directly.</p>



<p>Step 3: Open table customisation</p>



<ol start="1" class="wp-block-list">
<li>On the entries page, click the <strong>‘…’</strong> button in the top-right corner (just below your profile name).</li>



<li>Select <strong>Customise Entry List Table</strong> from the dropdown menu.</li>
</ol>



<p>Step 4: Adjust the table layout</p>



<p>You will see a list of the current columns displayed in the table. For each column, you can change:</p>



<ul class="wp-block-list">
<li><strong>Position</strong> – Drag and drop to change the order in which columns appear.</li>



<li><strong>Column Name</strong> – Edit the header text.</li>



<li><strong>Column Value</strong> – Choose what data the column displays (e.g. Entry ID, Organisation, or a response to a form question).</li>
</ul>



<p>You can also:</p>



<ul class="wp-block-list">
<li><strong>Remove columns</strong> – Click the bin icon.</li>



<li><strong>Add new columns</strong> – Use the empty row at the bottom to add a new one.</li>
</ul>



<p>🛈 <strong>Tip:</strong> You can control both <em>which</em> columns appear and <em>where</em> they are positioned in the table.</p>



<p>Step 5: Choose data to display</p>



<p>When customising each column, you’ll select a Column Value to determine what information appears in that column. Click the dropdown in the Column Value field to view the full list of data fields available for this award project.</p>



<p><strong>You can choose from:</strong></p>



<ul class="wp-block-list">
<li><strong>System fields</strong> – Standard fields such as Entry ID, Status, Last Updated, Invoice Number, or Approved At.</li>



<li><strong>Form responses</strong> – Any question from the entry form can be selected here. These will appear in the list using the format:<br>Question – [Your question title], e.g. Question – Release Date or Question – Organisation Type.</li>



<li><strong>Status counts</strong> – Summary fields showing the number of status-related actions taken on an entry, e.g. Num Checked (number of checkboxes marked by reviewers) or Num Flag Issue (number of flags raised on an entry).<br>These are useful for monitoring reviewer engagement or identifying issues quickly.</li>
</ul>



<p>Tip: You can mix system fields, form responses, and status counts to build a table layout that suits your team’s review workflow.</p>



<p>Step 6: Save or reset your changes</p>



<ul class="wp-block-list">
<li>Click <strong>Save</strong> to apply your changes.</li>



<li>To undo your edits and restore the original layout, click <strong>Reset to default</strong>.</li>
</ul>



<p>Tip: If you remove all columns and try to save, the table will automatically revert to the default structure.</p>

<p>If you are charging for entry to your awards or applications programme, you can set up simple or layered pricing structures, with a system that allows to create stackable pricing rules. Paying entrants will be able to safely process their online payments through the Stripe payment infrastructure integration, or offline payments via bank transfer.</p>



<h3 class="wp-block-heading">How to Set Up Pricing for your Award</h3>



<p>In order to set up pricing structures, it is necessary to prepare the award to accept Payments. In this section, you can see how to activate Payments for your Awards.</p>



<ol start="1" class="wp-block-list">
<li>Log in to the <strong>Admin Interface</strong></li>



<li>Click on <strong>Settings</strong> on the desired award</li>



<li>Scroll down and set up a <strong>Last Pay Date</strong> for your award</li>



<li>Next, scroll down further and expand the <strong>Pricing</strong> section</li>



<li>On the <strong>Requires payment</strong> field, select the desired type of payment among <strong>Online or Offline</strong>, <strong>Force Online</strong> or <strong>force Offline. </strong><a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-set-payment-mechanisms-per-award-and-organisation/">This guide </a>explains how to set this up.</li>



<li>On the <strong>Maximum online payment</strong> field, set <strong>20000</strong> (formatted in this way, without symbols, commas or decimals. This amount is in accordance with the current maximum payment limit threshold that can be processed with Worldpay)</li>



<li>Fill the remaining fields as needed.</li>
</ol>



<h3 class="wp-block-heading">Pricing Structure</h3>



<p>Once the award is set up to receive payments, you can scroll down and click on the <strong>Pricing Structure</strong> link. The first step is to choose the desired type of pricing structure, you can choose from the following:</p>

<li><strong>Entry</strong></li>



<li><strong>Category</strong></li>



<li><strong>Nominee</strong></li>



<li><strong>Number Question Pricing</strong></li>

<h3 class="wp-block-heading">How to Set Up Price Per Batch</h3>



<p>A flat fee is paid regardless of the amount of entries submitted.</p>

<li>Go to <strong>Pricing Structure &gt; Add</strong></li>



<li>Select <strong>Price Entity &gt; Batch</strong></li>



<li>Add a <strong>Price Structure</strong> &gt; <strong>Default. </strong>If you want to apply a different <strong>Price Structure</strong> to your organisation can follow <a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-define-different-price-structures-per-organisation/">these instructions</a>.</li>



<li>Add <strong>Start Date</strong> if applicable. The date will start at 00:00:00</li>



<li>Add <strong>End Date </strong>if applicable. The date will start at 23:59:59</li>



<li>Add a<strong> Invoice Description </strong>&#8211; This will be displayed on the Invoice as a line item</li>



<li>Add a <strong>Price</strong> &#8211; This can be positive (e.g. 10.00) or negative (e.g. -10.00)</li>



<li>Select <strong>VAT Exempt</strong>

<li>If <strong>No </strong>&#8211; The value applied on the Tax Rules or Tax Rate field in the Pricing section will be added to the total</li>

<p><strong>Note </strong>&#8211; When you set prices using the same method (like <strong>per batch</strong>, <strong>per payment</strong>, or <strong>per category etc</strong>) this is called a <strong>rule</strong>.</p>



<h3 class="wp-block-heading">How to Set Up Price Per Entry</h3>



<p>A fee is calculated based upon the number of entries submitted at closedown. The entry fee can be set to either be flat fee per entry or to increase or decrease depending on the number of entries submitted.</p>

<li>Go to <strong>Pricing Structure &gt; Add</strong></li>



<li>Select <strong>Price Entity &gt; Entry</strong></li>



<li>Add a <strong>Price Structure</strong> &gt; <strong>Default</strong></li>



<li>Add <strong>Start Date</strong></li>



<li>Add <strong>End Date</strong></li>



<li>Choose <strong>Depends On Award Pricing Structure </strong>&#8211; here you can select one of the pricing rules you’ve already created. By doing this, you&#8217;re linking the new price to that existing rule. This creates a dependency, meaning the new price will only be applied if the selected rule is already in use. In simple terms, you&#8217;re telling the system:<em> apply this new price, but only when that specific pricing rule is active.</em></li>



<li>Define <strong>Allowance Link To </strong>&#8211; Here you can link a pricing rule to another so that both share the same threshold. The threshold is set on the main rule, and any linked rule draws from that same allowance, rather than using its own. This creates a shared limit across multiple rules.</li>



<li>Add an<strong> Invoice description</strong></li>



<li>Add a <strong>Threshold </strong>&#8211; this allows you to define a range or limit where a specific price applies per Entries. For example: If the threshold is <strong>10</strong>, it means this price will only apply when the quantity is between <strong>1 and 10</strong>.</li>



<li>Add a <strong>Price</strong></li>



<li>Select <strong>VAT Exempt</strong>
<ol class="wp-block-list">
<li>If <strong>No </strong>&#8211; The value applied on the Tax Rules or Tax Rate field in the Pricing section will be added to the total</li>

<li>Add any <strong>Criteria &#8211; </strong>this allows Admins to set specific conditions based on answers or selections from the form. For example, if you want to apply a certain price only when a user selects a specific option or gives a particular answer, you can do that by setting the appropriate rule here.</li>

<p>This option lets you charge a fee based on the number of Nominees. In other words, the total price will increase depending on how many nominees are entered.<br>Nominees can be set up on the <strong>Category </strong>page, under <strong>Eligibility </strong>&gt; <strong>Nomination Data </strong>section.<br>Whatever you define there can be treated as a nominee.</p>

<p>This option allows you to set prices based on individual Questions, as long as the Question includes a number. The price you set will be multiplied by the number the user enters in their response. This is especially useful in cases like selling tickets or any situation where the total cost depends on a quantity provided by the Entrant.</p>

<li>Select the desired <strong>Question</strong> &#8211; here you can choose a <strong>select question</strong> you&#8217;ve previously created in the form where users pick from numbered options. The system will display <strong>all select questions</strong> &#8211; including both number-based and text-based ones &#8211; so it&#8217;s important that Admins choose the correct <strong>numerical</strong> select question to ensure pricing works properly.</li>



<li>Add <strong>Threshold Start </strong>&#8211; this is the <strong>minimum</strong> number where the price rule begins.</li>



<li>Add <strong>Threshold End </strong>&#8211; this is the <strong>maximum</strong> number where the price rule ends. For example, if you set a threshold start of 0 and a threshold end of 5, the price you define will only apply when the quantity is between 0 and 5.</li>



<li>Add an<strong> Invoice description</strong></li>

<li>Select <strong>VAT Exempt</strong>

<p>To simplify how Entrants view the list of Awards available for new Entries from their account, it is possible to create Awards Groupings, that are tabs visible in the <strong>Create New Form</strong> section, where Awards divided by criteria decided by Admins are placed in expandible drop-downs.</p>



<p>You can set them up by following these steps:</p>



<ol start="1" class="wp-block-list">
<li>Log into your <strong>Admin Interface</strong> and click on <strong>Control Centre </strong>and select <strong>Award Groupings</strong></li>



<li>On the top-right of the page, click on <strong>Add</strong></li>



<li>A pop-up window will appear, where you will have to set-up the Grouping <strong>Name</strong>, which <strong>Awards</strong> you want to add into it, and you can even choose a <strong>Grouping Icon</strong> that will help to give a better categorisation feel to the Grouping tab</li>



<li>You can create multiple Groupings, and you can add the same Award to as many of them as you like</li>



<li>Click on <strong>Save</strong></li>
</ol>



<p>At this point, you can head over to the desired Award’s <strong>Settings</strong>, expand the <strong>Options</strong> section, and scroll down to visualise to which Groupings the Award has been added. From there, you can decide to remove the Award from any or all groupings by clicking on the little <strong>X</strong> on the top right of each Grouping tag. You can also click on <strong>View all the groupings</strong> to be brought back to that section in <strong>Control Centre</strong>.</p>



<p>When set up, Entrants will now see the Awards you decided to add to groups divided into expandible tabs, for easier navigation and less screen clutter.</p>

<p>Nucleus now supports AI-generated translations allowing Admins to easily translate the CMS into over 100 supported languages. This is particularly useful for international Organisations that want to make their Entry process accessible to non-English speaking Entrants. Currently, all Entrant-facing text on the Entrant Interface will be translated automatically when the feature is enabled. This includes all text, question text, select options, help text, and elements that appear on the Entrant Interface.</p>



<p>Currently, all email communications and copy on the Viewing and Admin Interfaces will remain in the language provided by Admins in the CMS. However, this offering will be expanded if there is a demand.</p>



<p>Please note that, while filling an Entry form, entrants are required to answers questions in a language that has been agreed with Admins, as they will not be automatically translated by the system. Select Questions can be submitted in the User-defined language, and as the answers are pre-defined, these will be displayed to Admin Users in the language set on the question.</p>



<p>Please note that this feature requires an additional account with one or more of the translation providers. Nucleus can only provide translations for languages supported by at least one of the providers. For more information on pricing and the supported languages please refer to the documentation provided by each provider:</p>

<p>When the feature is enabled, Users can choose their preferred language on the Account Settings page. Nucleus will begin to translate the pages using the relevant AI platform. To reduce costs, a copy will only be translated when it has been selected by a User. The first time a language is chosen, Nucleus will launch an API call to the translation platform each time a new page is generated. The call is once a minute each time an untranslated CMS appears on a loaded page. The first time a User chooses to translate a copy, they will see the page content language change. The process is quick but it will take at least a minute after the page has first loaded to display the new language. Once refreshed, the newly selected language will replace the previous content.</p>



<p>This process only applies to the first time a language is selected. The translations are stored in the CMS where they can be edited in the future, if required. This process saves translating the content each time a User with the same selected language visits the page. If you anticipate that this will be confusing for Users, it is recommended that an Admin User logs in with an Entrant account and visits all pages in each language to generate the content before the Award opens. In this way, when Entrants will login into the page, they will have access right away to the translated copy.</p>



<p>If the CMS or Questions are updated, the updated copy will also need to be retranslated. This will happen when a User with an untranslated version of the question or CMS lands on the page. When the translation is provided by the API, it will be surfaced to the User.</p>



<h3 class="wp-block-heading">How to Edit the Translations</h3>



<p>AI is still in early stages and, unfortunately, the translations provided are not always accurate. Therefore, Nucleus allows Admins to update the copy manually, if required. To manually edit a translation:</p>

<li>Log into the <strong>Admin Interface</strong></li>



<li>Click on <strong>CMS</strong> on the left hand side menu</li>



<li>Search for the content using the <strong>Language</strong> filter and the <strong>Content</strong> column</li>



<li>Click <strong>Edit</strong></li>



<li>Update the copy as required and click <strong>Save</strong></li>
</ol>



<h3 class="wp-block-heading">How Users Can Set their Preferred Language</h3>



<p>Users need to self-select their preferred language, as in most cases this will default to English. This can be done from the Account Settings page once the User has created an account and logged in. After the language has been selected and the page is saved, the User will see the translated copy.</p>



<p>BMT does not provide instructions for Entrants to action this process and it is advised that Admins provide clear visual guidelines for Users to change their preferred language.</p>

Those two functions work alternatively, and not in conjunction: <strong>Tax Rate</strong> is used to apply a flat tax amount for every entry, making no distinctions over the entrants&#8217; organisation type, country of application origin, and so forth.</p>



<h3 class="wp-block-heading">Set Up Tax Rate</h3>



<ol start="1" class="wp-block-list">
<li>Log in to the <strong>Admin Interface</strong></li>



<li>Click on <strong>Settings</strong> on the desired Award</li>



<li>Set up an appropriate <strong>Last pay date</strong></li>



<li>Now scroll down and expand the <strong>Pricing</strong> section</li>



<li>Make sure the <strong>Requires payment</strong> field is set up to accept online, offline or both types of payment</li>



<li>in the <strong>Tax acronym</strong> field enter the desired tax name (i.e. VAT) as needed. Please note that, if the tax acronym is left empty here and no “per-country” override applies, then the acronym and rate for the organisation&#8217;s country will be used. If no acronym is set for the country, then the global acronym and rate will be used. If the acronym is not set at any level then the accompanying rate will be ignored (even if it is non-zero).</li>



<li>In the <strong>Tax rate</strong> field enter the desired rate. This field is interpreted as a percentage, and the required format to fill it is <strong>DesiredNumber.Decimals</strong> (i.e. 20.00, which the system will read as 20%)</li>



<li>Click on <strong>Save</strong></li>

<p><strong>Tax Rules</strong> is instead a function that allows you to create and stack different tax rate rules, with the objective of applying different conditions to entrants with different circumstances, such as different country of residence and organisation type. </p>



<h3 class="wp-block-heading">Set Up Tax Rules</h3>



<ol start="1" class="wp-block-list">
<li>Log in to the <strong>Admin Interface</strong></li>



<li>Click on <strong>Settings</strong> on the desired Award<strong>*</strong></li>



<li>Set up an appropriate <strong>Last pay date</strong></li>



<li>Now scroll down and expand the <strong>Pricing</strong> section</li>



<li>Make sure the <strong>Requires payment</strong> field is set up to accept online, offline or both types of payment</li>



<li>Click on <strong>Tax Rules</strong>. A new browser tab, separated from the Award.</li>



<li>Click <strong>Add</strong></li>



<li>In the <strong>Vat Registered</strong> dropdown menu, select whether this new tax rule will apply to organisation that are VAT Registered, not VAT Registered, or either of these options.</li>



<li>Select an appropriate <strong>Tax Acronym</strong> (i.e. VAT). This field allows you to set up different acronyms for different countries, so that international entrants will visualise the correct one that applies to their country of residence.</li>



<li>In the <strong>Rate %</strong> field enter the desired rate. This field is interpreted as a percentage, and the required format to fill it is <strong>DesiredNumber.Decimals</strong> (i.e. 20.00, which the system will read as 20%)</li>



<li>The <strong>Country / Tag</strong> field allows you to add the relevant country or region that you want to apply this rule to (i.e. if you select Germany, then this rule will be applied to entrants from Germany, and so forth). You can add multiple countries and regions as needed.</li>



<li>Next, choose to which <strong>Award</strong> you wish to apply the new tax rule to. You can choose the one you were editing, but if needed you can apply this rule to other Awards too, in order to save time when setting them up</li>



<li>Select which <strong>Organisation Types</strong> you wish to apply this new tax rule to.</li>



<li>Click <strong>Save</strong>.</li>
</ol>



<p><strong>*</strong> Another way to reach the <strong>Tax Rules</strong> page, is by clicking on <strong>Control Centre</strong> from the <strong>Admin Interface</strong>, then <strong>Finance Settings</strong> and finally <strong>Tax rules</strong>.</p>



<p>You can create multiple tax rules that apply to the same Award, and they will integrate with one another, <strong>as long as they don’t conflict with each other</strong>. Should you mistakenly create conflicting rules (i.e. two different rules that apply to the same Award, or organisation type), the ones that have been created chronologically earlier will be applied over the ones created later. You can use the <a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-use-the-test-scenarios-feature-after-setting-up-awards-pricing-structures/">Test Scenario tool</a> to run tests and make sure your payment structures and tax rates are working as intended.</p>



<p>It is worth mentioning that <strong>Tax Rules</strong> override the <strong>Tax Rate</strong> field in the Award pricing section, meaning that if you set up both, only the Tax Rules will take priority in the system and will be applied.</p>
