Communications with Judges/Viewers

Nucleus has a huge range of email functionality that enables Admins to contact users in bulk or based on specific criteria, however, these functions are heavy-handed when an Admin User wants to contact just one Judge or Viewer. It might be that Admins wish to contact an individual Viewer to remind them to log in or to ask them to submit their scores. Whatever the reason, Nucleus offers an easy function that allows Admins to send an email.

How to Email an Individual Judge/Viewer

Before you contact an Entrant we recommend that you review the entryIssue/GLOBAL email template, which will be sent as part of this process. For more information about managing email templates, read this guide.

Log into the Admin Interface
Go to Awards & Projects > Select specific Award > Click on Settings Button
Go to Viewers sub-section in Settings
Filter for the relevant User
Go to the Actions menu for the entry and select Email Viewer
On the next screen the To field will be populated with the Entrants’ email. Add more emails by separating them with a comma
Add emails to the BCC if required
Edit the Subject as required
Edit the Content as required
Click Send when ready

Note – the emails will not appear in the Email Log/Queue List.

Emails Sent Automatically to Viewers

The following email templates are triggered to be sent automatically to Viewers.
When creating a new award, always check that the default wording of these templates and edit them as you require. A default template is created automatically for each email type. This email will be sent in all cases unless a template is defined for an award. To stop any email being sent out, review this guide.

viewer/contact	An email is triggered when Admins contact individual Viewers.
viewer/forgottenPassword	An email is triggered when a Viewer click the “Reset your password” link. It contains a link to reset the password.
viewer/mfa	In Nucleus you can set up Multi-Factor Authentication. This email is triggered if you set up the Email as a MFA option. It contains a 6-digit code which is send to a specified email address.	– Multi Factor Authentication for Entrants, Admins, Judges and Viewers
viewer/unsubmitScoresComments	In Nucleus you can allow Viewers to submit scores and comments. If this functionality is switched on, an email is triggered if a Viewer clicks the link to Unsubmit their Scores and/or Comments, so they may edit them.	– Setting up scores and comments for judges
viewer/welcome	It is triggered when an Admin create a Viewer account for the Viewing Portal. Contains their user name and a randomly-generated password which they are welcome to update once they have logged in.
voting/thankYou	It is triggered when a Viewer completes the Voting process.

How to Check your Viewers’ Scoring Progress

If needed, during the Judging process you can check on how far your Viewers have progressed through the scoring/commenting of their allocated Categories.

How to Check your Viewers’ Scoring Progress

To see the progress of your Viewers’ activity during the scoring/commenting stage, do as follows:

Log into the Admin Interface
Go to Viewers
The Viewers List displays. Select the Award you want to check by filtering it from the Award(s) column.
If required, do likewise with the Category dropdown menu
The ‘% complete’ column displays. Here you can find your Viewers’ progress expressed as a percentage

How to Display Viewers based on a specific Scoring Progression Percentage

You can also toggle the list to display only those Viewers who have progressed less OR more than a certain percentage.
a) To select those who have viewed less than a certain percentage:

Select the < under the % complete filter
Type in the percentage figure in the box alongside

b) To select those who have viewed more than a certain percentage:

Select the > under the % complete filter
Type in the percentage figure in the box alongside

Note – Once you have used this functionality to gauge the progress of your Viewers, you may decide to use the Entrant Mailout functionality to send a targeted mailout to Viewers, for example a mailout/ViewerReminder email to those Viewers who have not completed their viewing or have viewed under a certain percentage. Note that you will need to manually copy/paste the email addresses of the relevant viewers across from the Viewing List to the Mailout field of contacts.

How to Filter your Viewer List by Award only

By default, your Viewer List will show ALL of your Viewers – with the ability to filter that List per award via the Award column.

However, if you would like the ability to have the List only displayed by Award, you will need to make sure that the Submission Date is less than 12 months in the past.

How to Generate a Report on Viewers’ Scores

At any time, during or after your Viewing stage, you can export and download a CSV file Report of your Viewers’ scores and comments.

How to Download a Report on Viewers Scores

Log into the Admin Interface
Go to the Reports section
Select Viewer Score Download. The Viewer Score Report page opens
From the Award dropdown, select which of your Awards to report on
Choose the Categories that you wish to export. Leave blank to export all categories
From the Score statuses, select any combination of In progress, Awaiting Submission and Submitted – based on which Scores and Comments you wish to see
Click Download. A CSV file will be prepared for you featuring the required data. The total scores for each entry will also be automatically tallied
