<p>Nucleus has a huge range of email functionality that enables Admins to <a href="https://nucleus-help.bmt.bafta.org/help-articles/creating-bespoke-email-lists-using-email-bundles/"><u>contact users in bulk</u></a> or based on <a href="https://nucleus-help.bmt.bafta.org/help-articles/contact-groups-of-entrants-and-viewers-using-entrant-mailout/">specific criteria</a>, however, these functions are heavy-handed when an Admin User wants to contact just one Judge or Viewer. It might be that Admins wish to contact an individual Viewer to remind them to log in or to ask them to submit their scores. Whatever the reason, Nucleus offers an easy function that allows Admins to send an email.</p>



<h3 class="wp-block-heading" id="How-to-Email-an-Individual-Judge/Viewer">How to Email an Individual Judge/Viewer</h3>



<p>Before you contact an Entrant we recommend that you review the <strong>entryIssue/GLOBAL</strong> email template, which will be sent as part of this process. For more information about <a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-manage-your-email-templates/"><u>managing email templates, read this guide</u></a>.</p>



<ol class="wp-block-list">
<li>Log into the <strong>Admin Interface</strong></li>



<li>Go to <strong>Awards &amp; Projects </strong>> Select specific Award > Click on <strong>Settings</strong> Button </li>



<li>Go to <strong>Viewers</strong> sub-section in Settings </li>



<li>Filter for the relevant User</li>



<li>Go to the Actions menu for the entry and select <strong>Email Viewer</strong></li>



<li>On the next screen the <strong>To </strong>field will be populated with the Entrants&#8217; email. Add more emails by separating them with a comma</li>



<li>Add emails to the <strong>BCC</strong> if required</li>



<li>Edit the <strong>Subject </strong>as required</li>



<li>Edit the <strong>Content </strong>as required</li>



<li>Click <strong>Send </strong>when ready</li>
</ol>



<p><strong>Note </strong>– the emails will not appear in the Email Log/Queue List.</p>

<p>To see the progress of your Viewers&#8217; activity during the scoring/commenting stage, do as follows:</p>

<li>Log into the <strong>Admin Interface</strong></li>



<li>Go to <strong>Viewers</strong></li>



<li>The <strong>Viewers List</strong> displays. Select the Award you want to check by filtering it from the <strong>Award(s)</strong> column.</li>



<li>If required, do likewise with the <strong>Category</strong> dropdown menu</li>



<li>The ‘<strong>% complete</strong>’ column displays. Here you can find your Viewers&#8217; progress expressed as a percentage</li>
</ol>



<h3 class="wp-block-heading" id="How-to-Display-Viewers-based-on-a-specific-Scoring-Progression-Percentage">How to Display Viewers based on a specific Scoring Progression Percentage</h3>



<p>You can also toggle the list to display only those Viewers who have progressed less OR more than a certain percentage.<br>a) To select those who have viewed <strong>less </strong>than a certain percentage:</p>

<li>Select the <strong>&lt;</strong> under the <strong>% complete</strong> filter</li>



<li>Type in the percentage figure in the box alongside</li>

<p><strong>Note </strong>&#8211; Once you have used this functionality to gauge the progress of your Viewers, you may decide to use the Entrant Mailout functionality to <a href="https://nucleus-help.bmt.bafta.org/help-articles/contact-groups-of-entrants-and-viewers-using-entrant-mailout/">send a targeted mailout to Viewers</a>, for example a <strong>mailout/ViewerReminder</strong> email to those Viewers who have not completed their viewing or have viewed under a certain percentage. Note that you will need to manually copy/paste the email addresses of the relevant viewers across from the Viewing List to the Mailout field of contacts.</p>

<p>At any time, during or after your Viewing stage, you can export and download a CSV file Report of your Viewers’ scores and comments.</p>



<h3 class="wp-block-heading" id="How-to-Download-a-Report-on-Viewers-Scores">How to Download a Report on Viewers Scores</h3>



<ol class="wp-block-list">
<li>Log into the <strong>Admin Interface</strong></li>



<li>Go to the <strong>Reports </strong>section</li>



<li>Select <strong>Viewer Score Download</strong>. The <strong>Viewer Score Report</strong> page opens</li>



<li>From the <strong>Award</strong> dropdown, select which of your Awards to report on</li>



<li>Choose the <strong>Categories </strong>that you wish to export. Leave blank to export all categories</li>



<li>From the <strong>Score statuses</strong>, select any combination of <strong>In progress</strong>, <strong>Awaiting Submission</strong> and <strong>Submitted</strong> – based on which Scores and Comments you wish to see</li>



<li>Click <strong>Download</strong>. A CSV file will be prepared for you featuring the required data. The total scores for each entry will also be automatically tallied</li>
</ol>
