<p>In Nucleus there is a feature called “Report a problem”, that can be used by Judges to report a problem or communicate with a specified Admin User directly from the Viewing Interface. This is particularly useful, for example, if Judges experience a video issue.</p>



<p>To enable this option, Admins will need to activate this functionality on a per-award basis from the Awards Settings. Viewers will then be able to report a problem via a link on the Viewing Interface. Once a problem is reported, the specified email address will receive an email.</p>



<p>Please just note that the Viewing Interface needs to be switched on, otherwise, this feature won’t work. More information on how to set this up can be found <a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-set-up-the-viewing-interface/">here</a>.</p>



<h3 class="wp-block-heading">How to Switch On the “Report a Problem” Functionality</h3>



<p>This can be set up from the Awards Setting page:</p>



<ol start="1" class="wp-block-list">
<li>Log into the<strong> Admin Interface</strong></li>



<li>Go to <strong>Awards</strong></li>



<li>Filter the relevant Award and click on<strong> Overview > Settings</strong></li>



<li>Scroll down to the <strong>Viewing Section</strong></li>



<li>Switch the “<strong>Report a problem</strong>” functionality to <strong>Yes</strong></li>



<li>Input the Admin Address that you want Judges to communicate with. Please note that if no address is provided, Viewers will not be given the option to contact an Administrator</li>



<li>Click<strong> Save &amp; Close</strong>. The functionality is now live on the Viewing Interface</li>
</ol>



<h3 class="wp-block-heading">How to Set Up Email Template</h3>



<p>Once a problem is reported by a Judge, an email is automatically triggered and sent to a specified Admin User. Therefore, it is important that Admins thoroughly check that the body of the email they receive contains the information they need by editing it as required. To learn <a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-manage-your-email-templates/">how to manage an email template</a>, follow this guide. Please look out for this email template from the list:</p>

<h3 class="wp-block-heading">How to Review a List of All Reported Problems</h3>



<p>To sustain this functionality, a new section has been created where Admins can see a list of all problems that have been created. Among the information displayed, there is also a column that shows the Viewer’s Browser Info, so it is particularly useful for Admins who need to easily access that information.</p>

<p>The Bulk Create functionality is the recommended method for assigning Viewers to Categories at the outset of the Viewing process, when you are creating Viewing batches.</p>



<p>However, if you want to assign a group of Viewers to Categories after the batches have already been created – mid-Viewing process, as it were – this can be done via Bulk Assign, which is much more convenient than doing it on an individual, per-Viewer level.</p>



<h3 class="wp-block-heading" id="Steps-to-Bulk-Assign-Additional-Categories-to-Viewers">Steps to Bulk Assign Additional Categories to Viewers</h3>



<ol class="wp-block-list">
<li>Go to <strong>Viewers</strong></li>



<li>In the far left column there are <strong>checkboxes</strong> under the header <strong>Assign</strong></li>



<li>Check all of the boxes for the Viewers whom you want to assign to a Category</li>



<li>Click <strong>Assign</strong></li>



<li>The <strong>Bulk Viewer Assign</strong> page will open. From the dropdown, select the relevant Award</li>



<li>From the <strong>Categories </strong>menu, select as many as you require</li>



<li>When it comes to <strong>Batches</strong>, you have two options:<br>• If you already have a Batch:<br>a. From the dropdown menu, select the one you want to assign these Viewers to<br>• If you want to create a new Batch:<br>a. Select <strong>Other/None </strong>from the dropdown menu<br>b. Fill in the <strong>Batch Name</strong> field with the name of your new Batch</li>



<li>Click <strong>Assign Viewers</strong></li>



<li>The Viewers will be assigned to the Categories accordingly</li>

<p>Nucleus enables admins to ask Viewers to agree to a set of Terms and Conditions before they can access and review any of the entries. A screen is presented to the Viewers when they fist log in and they are unable to proceed until they check a Disclaimer box to confirm they have read and will abide by any Terms &amp; Conditions set by admin users.</p>



<h3 class="wp-block-heading">How to Enable T&amp;Cs for Viewers</h3>



<ol class="wp-block-list">
<li>Go to<strong> Control Centre</strong></li>



<li>Go to <strong>System Administration</strong></li>



<li>Go to<strong> General Settings</strong></li>



<li>Look for <strong>Viewer Terms and Conditions</strong></li>



<li>Click on <strong>&#8216;&#8230;&#8217;</strong> and then <strong>Edit</strong></li>



<li>On the <strong>Value </strong>field, enter <strong>yes</strong></li>



<li>Click <strong>Save &amp; Close</strong></li>
</ol>



<h3 class="wp-block-heading">How to Update the Copy on the Viewer Terms and Conditions Page</h3>



<p>All of the attributes on the Viewer Terms and Conditions Page are editable in the Nucleus CMS. As soon as you click save on each CMS value then the copy will be updated. To update the CMS:</p>

<ol class="wp-block-list">
<li>Select <strong>CMS</strong> form the <strong>System Administration </strong>Menu</li>



<li>Search under the <strong>Label</strong> column for <strong>viewer terms and conditions</strong></li>



<li>This will bring up all of the relevant CMS areas that require updating on the Viewer Terms and Conditions Page</li>



<li>Click <strong>Edit </strong>next to the CMS you want to update</li>



<li>On the next page amend the copy as required and click <strong>Save</strong></li>



<li>Once all the copy has been updated the page will be ready for viewers</li>
</ol>



<p><strong>Note </strong>that this page is always on, regardless of whether you provide copy or not. If this has been switched on then it is imperative that you provide the relevant copy.</p>



<p><strong>Terms and Conditions Types in the CMS</strong></p>



<p>There are six number of CMS fields required to be filled out, including headings and the Terms and Conditions copy.</p>



<p>The CMS on the Admin side is setup as below:</p>

<p>The third interface for Nucleus is the Viewing Interface, which is equally important as the other interfaces but is often overlooked in terms of setup. This is largely due to Admins having little time between Entry deadlines closing and Judging beginning. <br>However, it is important to consider the setup of the Viewing Interface as a key component of the Award Setup and this should be actioned as early as possible in the process, ideally before an Entry has been submitted. After all the hard work in opening Entries, Entry submission and reviewing the Entries, it is important not to rush the process where the winners and nominees are often selected.</p>



<p>This guide will walk you through the process of setting up the Viewing Interface and will link to other articles where relevant. For more information on the following please refer to the linked articles:</p>

<h3 class="wp-block-heading" id="How-get-an-award-ready-for-viewing-on-the-Viewing-Interface">How to Get an Award Ready for Viewing on the Viewing Interface</h3>



<p>Before we begin to look at the range of functionality available on the Viewing Interface, we need to enable the Viewing. Once this is turned on and some test Entries have been approved, you can then review features that will assist your Judges. Once Viewing is turned on, as soon as entries are approved they will be available for your Judges to review. To switch on the Viewing Interface:</p>



<ol class="wp-block-list">
<li>Log into the <strong>Admin Interface</strong></li>



<li>Go to <strong> Awards</strong></li>



<li>In the Awards Table click on <strong>Overview</strong> on the relevant award</li>



<li>On the <strong>Awards Settings</strong> page scroll down to the <strong>Viewing </strong>section</li>



<li>Select <strong>Yes </strong>for <strong>Viewing Enabled</strong> and more options will appear</li>



<li>Click <strong>Save</strong></li>



<li>Then go<strong> Categories</strong></li>



<li>On the category table click <strong>Edit</strong> next to a category that you want to display on the Viewing Interface</li>



<li>Scroll to the <strong>Viewing Portal</strong> section</li>



<li>Select <strong>Yes</strong> for <strong>Show on Viewing Portal</strong></li>



<li>Click <strong>Save and Close</strong></li>



<li>Repeat steps<strong> 8 &#8211; 11</strong> for each category that you want to appear on the Viewing Interface</li>
</ol>



<h3 class="wp-block-heading" id="How-to-make-entry-data-appear-on-the-Viewing-Interface">How to Make Entry Data Appear on the Viewing Interface</h3>



<p>In the previous step we turned on the functionality that enables Awards and Categories to appear on the Viewing Interface. The next step is to enable the Question Data to appear. By default this is switched off and Admin Users will need to enable Question by Question. Typically, there are large data sets collected by the Entry Form, but Judges only need to see some of this information. This functionality allows Admin Users to control exactly what Judges see in each Category. There are two ways to set questions to appear:</p>



<ul class="wp-block-list">
<li>For all Categories</li>



<li>For specific Categories only</li>
</ul>



<h4 class="wp-block-heading" id="Set-a-question-to-appear-in-all-categories">Set a Question to Appear in all Categories</h4>



<p>Setting a question to appear in all Categories is controlled from the Question List. There are a couple of rules that you need to remember and this will largely depend on the design of your Form and your use of dependent Questions.</p>



<ol class="wp-block-list">
<li>If a Question has no answer then it will not display on the Viewing Interface. This applies to Questions which are optional for Entrants to supply an answer.</li>



<li>If a Question is not visible on an Entry Form at the point of submission, due to it being hidden by a Dependency, it will not show on the Viewing Interface regardless if the Entrant provided an answer.</li>
</ol>



<p>Using this method will make sure that the answer to the Question is displayed for all Categories in which an Entry is submitted providing the Entry meets the rules set out above. To set this:</p>



<ol class="wp-block-list">
<li>Go to <strong>Overview &gt; Form Setup</strong></li>



<li>Click on <strong>Edit</strong> next to the question that you wish to display on the Viewing Interface</li>



<li>Scroll to the <strong>Options </strong>section in <strong>Settings</strong></li>



<li>Enter a title for the question in the <strong>Title for Viewing Portal</strong> &#8211; note that the title will appear on the Viewing Interface</li>



<li>Click <strong>Save and Close</strong></li>



<li>Repeat steps <strong>2 &#8211; 5</strong> for all Questions that you wish to appear on the Viewing Interface for ALL Categories</li>
</ol>



<p><strong>Note</strong> &#8211; There is no limit to the number of Questions that can be set to appear.</p>



<h4 class="wp-block-heading" id="Set-a-question-to-appear-in-only-some-categories">Set a Question to Appear in only some Categories</h4>



<p>There is also an option to specify Questions in only some Categories. The functionality not only allows you to specify that a Question appears in one Category, but also so that it appears for one Nomination. This might be required where an Entry is listed in several Categories, but a supporting statement is only relevant for one of those Categories, or where an entry has multiple Nominations in one Category (for example: performers). Showing that supporting statement to Judges of another Category could be confusing or give the Entry an unfair advantage over Entries that had not been entered into both Categories.</p>



<p>To set up a Category/Nomination Specific Question:</p>



<ol class="wp-block-list">
<li>Go to <strong>Awards&gt;Overview&gt;Categories</strong></li>



<li>Click <strong>Edit </strong>on the relevant Category where you wish to display the question</li>



<li>In the <strong>Eligibility</strong> section locate the top table called <strong>Category Specific Questions</strong></li>



<li>In the <strong>Question</strong> column select the Question name &#8211; note that questions with an * have already been set to display for all Entries and are not available to select as Category specific</li>



<li>Enter a title in the <strong>Label</strong> column to display on the <strong>Viewing Interface</strong></li>



<li>If the category has more than one Nomination set in the <strong>Nomination Data</strong> table an additional column, <strong>Nomination</strong>, will appear in the <strong>Category Specific Questions</strong> table. If the question can appear for all Nominations in the category leave this set to <strong>All</strong>. If the question should only appear for a specific Nomination then select the relevant Nomination from the dropdown.</li>



<li>Click <strong>Save</strong></li>



<li>Repeat steps<strong> 3 &#8211; 7</strong> for all Questions you wish to display as Category/Nomination specific in all Categories</li>
</ol>



<p><strong>Note</strong> &#8211; There is no limit to the number of Questions that can be set to appear. <h3 class="wp-block-heading" id="How-to-set-up-the-Viewing-Interface-Functionality">How to Set-Up the Viewing Interface Functionality</h3>



<p>There are a number of different options you can choose to offer to your Judges. If your Judges do not need to review many Entries in each Category, you can skip this section. Otherwise, if you have many Entries in a given Category, you might want to provide your Viewers with tools to easily search and filter for Entries. There are a number of tools within Nucleus to assist.</p>



<p>To access the following controls:</p>

<li>Log into the Admin <strong>Interface</strong></li>



<li>Go to<strong> Awards</strong></li>



<li>In the Awards Table click on <strong>Overview</strong> next to the relevant award</li>



<li>On the <strong>Awards Settings</strong> page scroll down to the <strong>Viewing </strong>section</li>
</ol>

<li><strong>Viewing site entry order default </strong>&#8211; choose which order Entries will appear in Categories for Judges when the page loads

<li>Title &#8211; this presents Entries alphabetically by Entry Title</li>



<li>Last Approved &#8211; will display the latest approved Entries first, providing Judges with the newly available Entries</li>
</ul>

As some Awards do not require Entrants to provide an end date, activating this setting by selecting <strong>Yes</strong>, prompts a new follow-up setting field to appear, called <strong>Start and End date display</strong>. Through this setting, Admins can select <strong>Start Date and Time Only</strong> or <strong>End Date and Time Only</strong> in order to restrict to this selection, the type of information Entrants will be required to provide. This selection can be left untouched if the Award does indeed require both Start and End dates.</li>



<li><strong>Display first image on viewing site </strong>&#8211; if set, the first Media Item set to Image will be displayed in the UI as an image in the Viewing Interface

<h3 class="wp-block-heading" id="How-to-set-up-a-search-field-for-all-entries-on-the-Viewer-Dashboard">How to Allow Viewers to Mark Entries as Reviewed</h3>



<p>Admins can now enable a function that Judges can use to mark Entries as reviewed. For each Entry on the Viewing Interface there is a button titled &#8220;<strong>Reviewed/Not Reviewed</strong>&#8220;. Clicking on the button will change the status of the Entry. Viewers can use this as a personal notification which assists them during their Judging process so that they can focus on Entries that they have not reviewed yet. This feature also works with the sorting functions (see above) as Judges can use the sort to prioritise Entries that are not marked as reviewed and move the Entries that have been marked as reviewed to the bottom of their list. This feature is enabled on a per-category basis.</p>

<h3 class="wp-block-heading" id="How-to-set-up-a-search-field-for-all-entries-on-the-Viewer-Dashboard">How to Set Up a Search Field for all Entries on the Viewer Dashboard</h3>



<p>In Nucleus you can enable a &#8216;Search&#8217; function that allows Viewers to search for all Entries in a given Award by data sets specified by Admin Users. This will be displayed as a &#8216;Search&#8217; field option appearing above the Category boxes on the Viewer Dashboard, and a drop-down that specifies the field to which the search applies. The results for all Categories will be displayed on a new page which will highlight the Categories that the viewer can review and filter. To enable this option:</p>

<li>Go to <strong>Awards&gt;Overview&gt;Form Setup/Question List</strong></li>

<p>Tags can be used to group Entries within the Categories which can assist Viewers to filter, find and review Entries. It is especially useful with Categories that contain many Entries, such as a Category that contains all Entries entered into an Award. Looking at films as an example, Categories could be filtered by genre, such as <strong>Comedy, Action, Drama</strong> etc. Any Select type Question can be used to add tags to an Entry. To set up tags for an existing Select Question, please action the following:</p>

<li>Go to <strong>Awards&gt;Form Setup/Question List</strong></li>

<p>The options provided as answers for the Select Question will now appear in the tags list for Viewers to use for their filtering. The tag will only appear in the drop-down on the Viewing Interface if a minimum of one Entry contains the tag in the Category. For this reason the tag list may change form Category to Category. There is no limit to the number of tags that can be set. </p>

<p>This guide will describe how to set up accounts for Viewers (ie. Judges) to review the entries in the Viewing Interface. To create and issue rights to a group of Viewers/Judges the most efficient method is to use the Bulk Create functionality. Please note that if you want to assign a group of Viewers to Categories after the batches have already been created – mid-Viewing process – this can be done via Bulk Assign functionality, which is explained in<a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-assign-additional-categories-to-viewers/"> this guide</a>.</p>



<h3 class="wp-block-heading" id="How-to-Set-Up-the-viewer/welcome-Email-Template">How to Set Up the viewer/welcome Email Template</h3>



<p>If you wish to inform Viewers of the creation of their account you need to set up the <strong>viewer/welcome</strong> email template before bulk creating Viewers. In order to be sent, the template should contain special values. Please follow these steps to learn how to do it:</p>

<li>Log into the<strong> Admin Interface</strong></li>



<li>From the <strong>Email Management</strong> section, choose <strong>Email Templates</strong></li>

<li>Choose the <strong>viewer/welcome </strong>template</li>



<li>In your email body, please make sure to include these values:</li>

<h3 class="wp-block-heading" id="How-to-Create-a-New-Viewer">How to Create a New Viewer</h3>



<p>To add a new Viewer, please review this process:</p>

<li>Log into the<strong> Admin Interface</strong></li>



<li>Go to <strong>Viewers</strong></li>



<li>The <strong>Viewers List </strong>opens. Click on the <strong>Add </strong>button</li>



<li>The <strong>Add new viewer </strong>page opens. Fill in the Viewer’s details</li>



<li>If required, add them to a new or existing batch from the <strong>Batches </strong>section</li>



<li>On the Permission section, select the <strong>Award</strong> you wish them to view</li>



<li>Select the <strong>Categories </strong>&nbsp;you wish them to view</li>



<li>Click <strong>Save &amp; Close</strong>. Your Viewer has now been created</li>



<li>The <strong>viewer/welcome </strong>email template will be sent to the Viewer. If Admins do not input a password, the email contains the <strong>@@setPasswordViewer@@</strong> special value, which will guide Viewers through the password reset process to set their password</li>
</ol>



<p><strong>Note</strong> &#8211; if additional spaces are included before of after the viewer first or last names then these will automatically be removed.</p>



<h3 class="wp-block-heading" id="How-to-Bulk-Create-Viewers">How to Bulk Create Viewers</h3>



<p>Please follow these steps to assign a group of Viewers to specific Categories.</p>



<ol class="wp-block-list">
<li>Log into the<strong> Admin Interface</strong></li>



<li>Go to<strong> Viewers</strong></li>



<li>The <strong>Viewers List </strong>opens. Click on <strong>Bulk create</strong> at the top right of the page</li>



<li>The <strong>Bulk Viewer Creation</strong> page opens. On this page it is possible to create multiple accounts for viewers at a time so long as they are issued with the same permissions.</li>



<li>Enter a <strong>Batch name</strong> for this group of users so they can be identified at a later date</li>



<li>Select the <strong>Award</strong> you wish them to view</li>



<li>Select the <strong>Categories </strong>&nbsp;you wish them to view</li>



<li>In <strong>Viewer data</strong> we need to define who the viewers are. List the users as follows placing each new viewer on a new line. Please note that only the email address is mandatory:</li>
</ol>



<p>Email, First name, Last name, Mobile Phone<br>For example: <a href="mailto:awards@bafta.org"><strong>awards@bafta.org</strong></a><strong>, Robert, Smith, +44 123 456789</strong></p>



<ol start="9" class="wp-block-list">
<li>Click on <strong>Create viewers</strong></li>



<li>The viewers will be created and al new viewers will be added to the viewer list</li>



<li>The <strong>viewer/welcome </strong>email template will be sent to Viewers. It contains the <strong>@@setPasswordViewer@@</strong> special value, which will guide Viewers through the password reset process to set their password</li>
</ol>



<p><strong>Note </strong>&#8211; If you decide, when we set up your instance, that the viewer must sign an NDA before viewing any entries – they must tick a box to Accept these upon their first login. Please review <a href="https://nucleus-help.bmt.bafta.org/help-articles/how-to-set-up-terms-and-conditions-for-viewers/">this guide</a> to see how to set up Terms &amp; Conditions for Viewers.</p>



<p><strong>Note</strong> &#8211; if additional spaces are included before of after the viewer first or last names then these will automatically be removed.</p>



<h3 class="wp-block-heading">How to Create and Add Viewers to a Category using the Category Edit Screen</h3>



<p>Admins can create new viewers and administer viewing rights from the category page which is potentially a quicker method of issuing viewing rights.</p>



<ol class="wp-block-list">
<li>Log into the <strong>Admin Interface</strong></li>



<li>Go to <strong>Awards>Overview>Categories</strong></li>



<li>Locate the relevant category and click <strong>Settings</strong></li>



<li>Set <strong>Show on viewing portal</strong> to <strong>Yes</strong></li>



<li>To add or remove existing viewers use the Pick List title <strong>Existing Viewers</strong></li>



<li>To create new viewers use the text area, <strong>Create Viewers</strong>, making sure that each new user is added on a separate line</li>



<li>The data should be provided as <strong>[Email Address], [First name], [Last name]</strong></li>



<li>When complete click <strong>Save</strong></li>
</ol>



<p>Note &#8211; When created the new viewers will receive an email confirmation, provided that it has been set up as instructed above, with their log in credentials.</p>



<h3 class="wp-block-heading">How to resend a Viewer Welcome Email</h3>



<p>Admins can resend the Viewer Welcome email until the Viewer has set their password on an individual or bulk basis. This could be because the user never received the invitation or that the link has timed out. It is not possible to retrigger this email to Viewers who have already set their password. For these users direct them to the password reset function which is linked from the Viewer Login Screen</p>



<h4 class="wp-block-heading">Resend an Individual Welcome Email</h4>



<ol class="wp-block-list">
<li>Log into the<strong> Admin Interface</strong></li>



<li>Go to <strong>Viewers</strong></li>



<li>Search for the relevant Viewer</li>



<li>Go to the <strong>Actions </strong>menu for the Viewer</li>



<li>Click on <strong>Resend Welcome Email</strong></li>
</ol>



<h4 class="wp-block-heading">Bulk Resend an Individual Welcome Email</h4>



<ol class="wp-block-list">
<li>Log into the<strong> Admin Interface</strong></li>



<li>Go to <strong>Viewers</strong></li>



<li>Go to the <strong>Actions Dropdown</strong> in the top left of the table</li>



<li>Select <strong>Resend Welcome Email</strong> from the list</li>



<li>Check the boxes for all the users you wish to retrigger the email for</li>



<li>Click on the <strong>Ok</strong> button at the top left of the table</li>



<li>The selected users will be sent the email</li>
</ol>



<h3 class="wp-block-heading">How to Change the Expiry Length of the Invitation Link</h3>



<p>The link for the Viewer to set their password has a limited length for security reasons. Admins can control the length of time that the link is valid in the configuration vales section of the site. To increase or reduce the length of the link action the following:</p>

<li>Log into the<strong> Admin Interface</strong></li>



<li>Go to <strong>Control Centre</strong></li>



<li>Click on <strong>Configuration Values</strong> in the <strong>System Administration</strong> section</li>



<li>Search for <strong>New viewer password link expiry</strong></li>



<li>Click <strong>Edit</strong></li>



<li>Update the <strong>Value </strong>to the number of days that you require the link to be valid</li>



<li>Click <strong>Save</strong></li>
</ol>

<p>The <strong>Bulk Viewer Creator Tool</strong> in Nucleus allows Admins to create multiple Viewer accounts at once, saving time when onboarding several users simultaneously.</p>



<h4 class="wp-block-heading">Step 1 – Access the Tool</h4>



<ol start="1" class="wp-block-list">
<li>Log in to the <strong>Admin Interface</strong>.</li>



<li>From the left-hand side menu, select <strong>Viewers</strong>.</li>



<li>On the top-right of the page, click the <strong>⋯ (three dots)</strong> icon, then select <strong>Bulk Create</strong>.</li>
</ol>



<h4 class="wp-block-heading">Step 2 – Complete the Bulk Viewer Creation Form</h4>



<p>You will be taken to the <strong>Bulk Viewer Creation</strong> page.<br>Here, you need to fill in the following sections:</p>



<h4 class="wp-block-heading"><strong>Batch</strong></h4>



<ul class="wp-block-list">
<li>Open the drop-down menu and select an existing batch.</li>



<li>To create a new batch, select <strong>Other…</strong> and enter a new <strong>Batch Name</strong>.</li>
</ul>



<h4 class="wp-block-heading"><strong>Permissions</strong></h4>



<ul class="wp-block-list">
<li>Under <strong>Award</strong>, select the Award the new Viewers should have access to.</li>



<li>Once an Award is selected, the <strong>Categories</strong> linked to it will appear.</li>



<li>Tick the boxes for the Categories the Viewers should have access to.</li>
</ul>



<h4 class="wp-block-heading"><strong>Viewer Data</strong></h4>



<ul class="wp-block-list">
<li>Under <strong>Language</strong>, choose the desired language (default is <em>English</em>).</li>



<li>In the text area provided, enter the Viewer details — one per line.<br>Each line can include the following fields, separated by commas:
<ul class="wp-block-list">
<li>Email address <em>(mandatory)</em></li>



<li>First name</li>



<li>Last name</li>



<li>Mobile phone number</li>
</ul>
</li>
</ul>



<p>Example:</p>



<p>viewer1@example.com, Jane, Doe, 07123456789<br>viewer2@example.com, John, Smith, 0123567244</p>



<h4 class="wp-block-heading">Step 3 – Review and Finalise</h4>



<p>After clicking <strong>Proceed</strong>, you’ll be taken to a <strong>Summary</strong> page.<br>Here, review the imported data carefully:</p>



<ul class="wp-block-list">
<li><strong>Users to import</strong> – number of new users being created.</li>



<li><strong>Errors</strong> – any data entry issues detected.</li>



<li><strong>Existing users</strong> – users already in the system.</li>
</ul>



<p>For each listed user, the system will show their:</p>



<ul class="wp-block-list">
<li>Email address</li>



<li>First name</li>



<li>Last name</li>



<li>Mobile number</li>



<li>Any warnings (e.g. <em>Existing User, Email doesn’t exist</em>)</li>
</ul>



<h4 class="wp-block-heading"><strong>Additional Options</strong></h4>



<ul class="wp-block-list">
<li><strong>Overwrite existing viewers</strong> – choose <em>Yes</em> or <em>No</em> depending on whether existing user data should be replaced.</li>



<li><strong>Send email to existing viewers</strong> – choose <em>Yes</em> or <em>No</em> to notify existing users or not.</li>



<li><strong>Message for existing viewers</strong> – optional message content for those already in the system.</li>



<li><strong>Message for new viewers</strong> – optional welcome message for newly created accounts.</li>
</ul>



<p>Once all information is correct, click <strong>Create Viewers</strong> to complete the process.</p>



<h4 class="wp-block-heading">Step 4 – Tracking Email Delivery and Templates</h4>



<p>After creating the viewers, you can check whether the notification emails were successfully sent.</p>



<ol start="1" class="wp-block-list">
<li>Navigate to <strong>Email Management</strong> page.</li>



<li>Select <strong>Delivery Log</strong> from the options.</li>



<li>In the Delivery Log, you should see entries showing the emails sent as part of the bulk viewer creation process.</li>

<p>The following templates are used for these communications:</p>



<ul class="wp-block-list">
<li><strong>viewer/contactingExistingUsers</strong> – sent to existing users when they are re-added or updated.</li>



<li><strong>viewer/welcome</strong> – sent to new users to welcome them and provide login details or access instructions.</li>
</ul>



<p>These entries confirm that the system has processed and delivered the messages successfully.</p>



<h4 class="wp-block-heading"><strong>Email Template Special Values</strong></h4>



<p>To ensure that the optional messages entered in <strong>Message for existing viewers</strong> or <strong>Message for new viewers</strong> are included in the emails sent, the default email templates must contain the following special value: @@viewer message@@</p>



<p>This placeholder should be added to the body of the relevant email templates (for example, <strong>viewer/contactingExistingUsers</strong> and <strong>viewer/welcome</strong>) wherever you want the custom message text to appear.</p>



<p>If this special value is not included in the template, the message entered during the bulk viewer creation process will not be displayed in the email.</p>

<h3 class="wp-block-heading">Enabling the Feature</h3>



<p>To enable manual translations, please create a <a href="https://baftaresearch.atlassian.net/servicedesk/customer/portals">Support Ticket</a> with the required languages. Note that this feature is designed to support one additional language, and adding multiple languages may incur a small development charge. This can be discussed once the support ticket has been submitted.</p>



<h3 class="wp-block-heading">How do Manual Translations Work for Entrants/Viewers</h3>



<p>When enabled, a UI will appear for Admins, Entrants, and Viewers so they can choose their preferred language. There are also some automations based on the information supplied when the feature is set up on your instance.</p>



<ul class="wp-block-list">
<li>The login page will be displayed in the default language, English, unless a rule has been set up to detect the browser&#8217;s language.</li>



<li>A language selector will be available at the top left of the login page.</li>



<li>Entrants can select their preferred language during registration, setting the language for both the Organisation and the User, which will determine the language used at different stages of the process.</li>



<li>Both Entrants and Viewers can change their language at any time in their user settings.</li>



<li>When Admins create or bulk create Viewers, they need to select the User’s language.</li>



<li>Admins can update the language selection for Entrants, Organisations, or Viewers at any time using the relevant Admin pages.</li>
</ul>



<h3 class="wp-block-heading">How to Enable Manual Translations</h3>



<p>Once the required languages have been enabled on your instance, you will need to activate the feature before it will appear for Entrants and Viewers. The selection UI will appear even if no translations have been defined, so it is recommended that the feature is enabled when you are ready to provide the translations.</p>

<li>Go to <strong>Control Centre</strong></li>



<li>Select <strong>General Settings</strong> in the <strong>System Administration</strong> Section</li>



<li>Locate <strong>Allow Manual Translations</strong> and click <strong>Edit</strong></li>



<li>Enter <strong>Yes </strong>in the <strong>Value field</strong></li>



<li>Click <strong>Save</strong></li>
</ol>



<p>Admins will now see the UI on the Admin and Entrant interfaces.</p>



<h3 class="wp-block-heading">How to Provide Manual Translations</h3>



<p>Admins can provide translations for various CMS areas. If no relevant language translation has been provided for a CMS item, Nucleus will revert to using the English default. It is important to test and update all CMS items to ensure a smooth user experience.</p>



<h3 class="wp-block-heading">Translating the CMS</h3>



<p>Providing translations for the CMS is similar to updating the default CMS. When searching for CMS items to edit, Admins will notice that there is a CMS option for each language. The table includes a column for languages which can be filtered to find the correct CMS to edit. Ensure that the CMS item being edited matches the language for the translation being provided.</p>

<p><strong>Note</strong>: It is advised to test each CMS item as it is updated using a real test User to ensure the copy is applied as required.</p>



<h3 class="wp-block-heading">Enhanced CMS Editing Directly Within Preview Mode</h3>



<p>Admin Users can now edit CMS text content directly within the Entrant Interface’s <em>Preview Mode</em>, providing a clearer and more intuitive way to review and adjust on-page content.</p>



<p>Instead of navigating away to a separate Admin Interface screen, the CMS function is now accessible within an embedded frame, allowing edits to be made <strong>in context</strong>.</p>



<p>In order to access the preview mode, it&#8217;s enough to open any open Award&#8217;s <strong>Form Setup</strong>, click on the <strong>&#8230;</strong> icon at the top-right of the page, and click on either <strong>Entrant Preview</strong> or <strong>Admin Preview</strong>. By doing the user will be prompted to that Award&#8217;s form, from there they can click on the 3 lines menu icon at the top-right of the page to access every area of the Entrant Interface as an Admin, and they will have access to the <strong>Edit CMS</strong> button, which is located in every page next to the menu icon, at the top-right of the page.</p>



<p>When hovering over CMS text, any available translations will now appear as <strong>tooltips</strong>, making it easier to check multilingual content. A new <strong>Edit</strong> button also provides quick access to content adjustments, improving both visibility and efficiency in content management.</p>



<p>This enhancement complements the existing CMS editing process by offering a more immediate, user-friendly method of verifying and updating translated content.</p>



<h3 class="wp-block-heading">Translating the Questions</h3>



<p>Translation copy for the questions is provided via the CMS interface. There is a column on the table called <strong>Namespace </strong>which can be used as a filter to identify the question copy needing translations. Once the form has been built using the question list UI, it is recommended that the translations are provided. There is a one to one mapping for translations so all of the copy will need to be translated.</p>

<h3 class="wp-block-heading">Translating the Award Specific Copy</h3>



<p>Some CMS copy, such as the entry submission message, entry open message, and the content at the top of the form, are provided on a per-award level. This copy can be edited on the Awards settings page where the default copy is provided.</p>

<p><strong>Note</strong>: A translation can be provided for the Award name which is at the top of the settings page.</p>



<h3 class="wp-block-heading">Translating the Email Copy</h3>



<p>Each email template contains the UI to translate the copy, making it easy for Admins to supply the translated copy. If one of the fields is empty, the default language will be used.</p>

<p><strong>Important Note</strong>: When emails are triggered, they will be sent using the language set for the user in the <strong>To </strong>field, regardless of the languages of the users in the CC or BCC field. This is because the emails cannot be sent in multiple languages.</p>

<p>Nucleus provides functionality that will generate a Redacted entry PDF, which is a version of the submission and approval PDF files but with sensitive information excluded. There are a variety of reasons that Admin Users might want to exclude some information from PDFs. However, this functionality does allow for the PDFs to be distributed to groups who do not need access to all of the data submitted by the Entrant. For example, you can choose to omit personal details or certain fields that might not be relevant for Judges who like to review paper submissions. This feature is available to all instances in the standard functionality.</p>



<p>Once the Redacted PDFs have been generated it is possible to host these in the <strong>Viewing Interface</strong> so that Judges can have access to them. This functionality is only available at request. Please create a support ticket and request to display entry PDFs on the Viewing Interface.</p>



<h3 class="wp-block-heading" id="How-to-Generate-and-Download-Redacted-PDFs">How to Generate and Download Redacted PDFs</h3>



<p>Entry PDFs are generated during the submission and approval processes. To generate a Redacted submission or approval PDF, the Redacted functionality must be activated before entries are submitted or approved. To generate Redacted PDFs for entries which have already been submitted/approved the entries will need to be unsubmitted/unapproved then resubmitted/reapproved.</p>

<li>Click <strong>Save and Close</strong></li>

<li>Click on either the <strong>Redacted PDF</strong>, <strong>Redacted Submission PDF </strong>or <strong>Redacted Approval PDF </strong>to view the Redacted PDF file</li>



<li>Save the PDF file if required</li>
</ol>

<h3 class="wp-block-heading" id="How-to-Display-the-Redacted-PDFs-on-the-Viewing-Interface">How to Display the Redacted PDFs on the Viewing Interface</h3>



<p>Once the Redacted PDFs have been generated admin users can choose to include them as part of the information provided to Judges. This is set on a per category basis. The PDF files will appear for all entries in the category in the last position of the data set presented to Judges.</p>

<p>Nucleus now includes additional functionality to help Admins manage entry payments more effectively before judging begins. This guide explains how to configure your award so that <strong>only paid entries</strong> are visible in the Viewing Interface, and outlines new features that support better tracking of unpaid entries.</p>



<p>By using the <strong>Show only paid entries</strong> option and leveraging the <strong>Requires Payment</strong> status, Admins can:</p>

<li>Prevent unpaid entries from appearing to judges</li>



<li>Track payment status more clearly</li>



<li>Prompt entrants to pay promptly using tailored email templates</li>
</ul>

<li><strong>Log into the Admin Interface</strong></li>



<li>Navigate to <strong>Awards</strong></li>



<li>Locate the relevant award and click on <strong>Overview</strong></li>



<li>On the <strong>Award Settings</strong> page, scroll down to the <strong>Pricing</strong> section</li>



<li>Locate the setting labelled <strong>Show only paid entries on viewing portal</strong></li>



<li>Set this dropdown to <strong>Yes</strong></li>



<li>Scroll to the <strong>Options</strong> section</li>



<li>Ensure <strong>Send emails on entry approval</strong> is set to <strong>Yes</strong></li>



<li>Click <strong>Save</strong></li>

<p>Once enabled, only entries with invoices marked as <em>Paid</em> will appear in the Viewing Interface. Entries approved without payment will:</p>

<li>Display a message for Admin users indicating the entry is not visible</li>



<li>Be automatically assigned the <strong>Requires Payment</strong> status</li>

<ul class="wp-block-list">
<li><strong>Requires Payment Status</strong><br>A new status called <strong>Requires Payment</strong> has been introduced. This is automatically assigned to entries that have been approved but are still awaiting payment. Entries with this status are <strong>not visible to judges</strong> in the Viewing Interface.</li>



<li><strong>Pending Category on Entry Bar Graphs</strong><br>A new <strong>Pending</strong> category has been added to the bar graphs shown on the Admin Entry List. This category provides a clear visual cue when entries are awaiting payment.</li>
</ul>



<p><em>Note: These changes help Admins track and follow up on unpaid entries while ensuring only paid entries progress to judging.</em></p>

<p>When this setting is in place, and an entry is approved without payment (by a non-credit-approved organisation), a different email template will be triggered:<br><code>entry/approvedunpaid</code></p>



<p>This allows Admins to notify the entrant that:</p>

<li>It will <strong>not</strong> be presented to judges until payment has been made</li>
