Setting Price Bands for your Award

If you are charging for entry to your awards or applications programme, you can set up a pricing structure on any of the following basis:

  • Per batch – a flat fee is paid regardless of the amount of entries submitted.
  • Per entry – a fee is calculated based upon the number of entries submitted at closedown. The entry fee can be set to either be flat fee per entry or to increase or decrease depending on the number of entries submitted.
  • Per category – a fee is calculated based upon the number of categories submitted at closedown. The entry fee can be set to either be flat fee per entry or to increase or decrease depending on the number of categories submitted.

With Nucleus, you can simultaneously set up as many different price structures as you wish.

Charging per Batch

  1. Log into the Admin Interface
  2. Go to Actions>Awards
  3. Choose the relevant award and click on Edit
  4. Scroll down to the Pricing section
  5. Go to the Per Batch section
  6. Select the relevant pricing structure
  7. Enter the default batch fee in the £ field
  8. Add a description in the Override Invoice Description field
  9. Click Save

Note – The prices will be applied to all submitted entries at point of closedown. If an entrant were to submit more entries after the closedown process, then these would be charged separately.

For example, the per batch fee is £100 + VAT.
The entrant submits 3 entry forms and closes down their entries. They will be charged £100 + VAT.
If the entrant later decides to submit 2 further entries and then closes down, they will be charged a further £100 + VAT.

So, they will have paid £200 + VAT in total, across 2 batches.

Charging per Entry

In this price structure a fee is set based upon the number of entries submitted at closedown. The entry fee can be set to either be a flat fee per entry or to increase or decrease depending on the number of entries submitted.

CHARGING A FLAT FEE STRUCTURE ON A PER ENTRY BASIS

If you wish to charge the same price for each submitted entry, please follow these steps:

  1. Log into the Admin Interface
  2. Go to Actions>Awards
  3. Choose the relevant award and click on Edit
  4. Scroll down to the Pricing section
  5. Go to the Per Entry section
  6. Select either Default or SME as a pricing structure
  7. Set 0 entries as a value to Greater than (>) field 0 entries
  8. Enter the required price in the £ field. This will cover ANY number of entries an entrant submits
  9. Add a description in the Override Invoice Description field
  10. Select either Charge band or Rate card
    1. Charge band – specifies the price of each entry. For example, 1-5 entries is £100 per entry, and 6-10 entries is £50 per entry. If the user submits 10 entries the first 5 will be charged at £100 each, and the second 5 at £50 each.
    2. Rate card – specifies the price of a range of entries. For example, 1-5 entries is £100 per entry, and 6-10 entries is £50 per entry. If the user submits 6-10 entries, then ALL entries will be charged at £50.
  11. Click Save

CHARGING AN INCREASING/DECREASING FEE STRUCTURE ON A PER ENTRY BASIS

To set different scales, you can increase or decrease the cost per entry in line with the increasing number of entries entrants make.

  1. Log into the Admin Interface
  2. Go to Actions>Awards
  3. Choose the relevant award and click on Edit
  4. Scroll down to the Pricing section
  5. Go to the Per Entry section
  6. Select either Default or SME as a pricing structure
  7. Choose the price structure you want to apply. For example, if you wanted to charge £100 each for the first three entries, £50 each for the fourth and fifth entry and any entries over six would be free you would set up as follows:

> 0 entries = £100 per entry
> 3 entries = £50 per entry
> 5 entries = £0 per entry

So, just enter the required values in the > and £ fields.

Note – It is possible to edit the per entry price bands while the submission phase is in live – for example to introduce/end Early Bird type promotions – by clicking the Edit link alongside it. You will be reminded that the submission phase is live. If you click OK to this, you will be able to update the price band.
