How to Enable Entrants to Copy Entries Between Awards on the Entrant Interface

Nucleus includes functionality that allows Entrants to copy data from one Entry to another, even across different Awards or Projects. This is not enabled by default—Admins must assess whether it aligns with their processes before enabling it.

The system maps data based on Internal Question Names. If these names do not match between the original and new Entry, the copied data will not populate correctly. To ensure a smooth process, Admins should verify that the question sets are consistent across both Entries before enabling this feature.

When applied correctly, this functionality can significantly reduce the time Entrants spend re-entering the same information across multiple submissions. However, careful planning is required to avoid mismatches.

How to Enable the Populate Form Functionality

This functionality is designed as a form population tool rather than a direct copy function. Entrants must first create a new Entry in the destination project before choosing to populate the form with data from a previous submission. The populate option is available on both the entrant dashboard and the Entry Form itself.

Important Notes:

  • This feature is enabled at the destination form level.
  • Entrants must provide an Entry ID from a previous submission.
  • The system will only allow data to populate if at least 10 questions have matching internal question names between the Entries.

Steps to Enable the Populate Form Functionality

  1. Log into the Admin Interface
  2. Go to Awards/Projects
  3. Locate the relevant award and click Settings
  4. Open the Options section
  5. Set Enable entrants to populate this form with data from previous entries to Yes
  6. Click Save

The functionality is now enabled for the selected Award or Project.

Next Steps:

  • Test the process to ensure it works as expected.
  • Update any relevant CMS or guidelines to clearly inform Entrants about this functionality.

How Entrants Can Populate Fields

Once the feature is enabled, Entrants will be able to find an option called ‘Populate Answers‘ on their Dashboard (on the Destination Award) alongside the Entry Action Menu. Once they click on it, Users will need to enter the Entry ID in a textbox to be able to copy answers from that old Entry into their new Entry.
