Batch Management of the Question List

The Question List is used by Administrators to build the Entry Form and is one of the most important and complex areas of Nucleus. The Entry Form powers the Awards’ process as all of the data supplied on the form is used elsewhere in Nucleus. Building the form is a time-consuming process, due to the huge range of functionality on offer. To assist Admins in speeding up the process, it is possible to edit some functions as part of a ‘Batch’ process, meaning that multiple questions can be updated in one process as opposed to editing each question individually.

This guide explains how to use the ‘Batch Update’ functionality. For full information on how to build forms review the Entry Form Building guide.

The ‘Batch Editing’ functionality is located in two places:

  • At the top of the Table in the Header
  • Below the Table

How to Use the Batch Functionality in the Table Header

Most of the ‘Batch’ functionality is based in the top left column of the Question List Table. This approach allows Admins to select as many questions as required via a checkbox and then choose a feature to update. For example, Admins can set multiple questions to be either required or optional in one action.

The following question functions can be edited:

  • Required
  • Read-only
  • Includes Personal Data
  • Redacted pdfs
  • Worksheet for export
  • Paginated Dividers
  • Dependencies
  1. Log into the Admin Interface
  2. Go to Actions>Question List
  3. Select the Actions Menu in the top left of the Question List Table
  4. Choose one of the following options:
    1. Copy
    2. Delete
    3. Batch edit
  5. Select the relevant questions via their checkboxes
  6. Click OK below the ‘Batch’ dropdown at the top of the Table
  7. Follow the onscreen instructions for each option
  8. Once the action is completed then all the questions will be updated

Note – The updates to the questions, excluding Delete and Copy, will overwrite the current options in a question. For Dependencies, ALL Dependencies currently set for a question will always be overwritten. All questions will always be selectable regardless of status, so it is possible to set a question that is set to be Admin-only and then overwrite this with the same option.

How to Use the Batch Actions Below the Table

There are options below the Table for Admins to DeleteCopy or Move multiple questions in one action. This functionality is limited to questions that are in a sequence as Admins need to enter the question numbers. It is possible to copy or progress questions to another Award.

  1. Log into the Admin Interface
  2. Go to Actions>Question List
  3. Scroll to the bottom of the Table
  4. Select an option:
    1. Delete
    2. Copy
    3. Move
  5. Enter the Starting Question Number
  6. Enter the End Question Number
  7. Choose the Destination Award (only required if Copying or Moving questions to another award)
  8. Choose the Destination Position (Only required if Copying or Moving questions)
  9. Enter the Onscreen Code
  10. Click Go
  11. The action will then be performed
