How to Allow Entrants to Edit Questions After Entry Progression
In progression-based workflows, Entry questions can be carried over from the previous stage to the new stage, and they are automatically locked to restrict entrant edits once their Entry is approved and progressed to the next stage. However, Admin Users can selectively unlock or re-lock individual questions on a per-entry basis, allowing entrants to update specific answers after progression without altering global form settings.
How to Activate This Feature
You can activate this feature when setting up your Progression Awards, or at any time. It is enough to:
- Log into the Admin Interface
- Click on Settings of the desired Award
- Scroll down and expand the Options section
- select Yes for the Allow mass actions for entries option
- Select Yes for the Allow locked questions option
- Click Save
All the Awards involved in the progression system should have this setting activated (i.e. Stage 1, Stage 2, Stage 3 and so forth.)
It is also important that each Award stage has the questions that are intended to be carried over written and set up in the exact same way for each stage. The system recognises matching questions, and carries over the Entrant answers from stage to stage.
How to Lock/Unlock Questions on an Entry
Once the option is activated, you can start using it by following these steps:
- Log into the Admin Interface
- Click on Entries on the desired Progression Award
- Click on the … Action Menu icon on the right hand side of the desired Submitted Entry and click on Edit
- On the right hand side of the desired question, expand the tags dropdown menu
- To Lock a question, select the Checked OK or ‘Corrected’ tags. Alternatively, double click on the small Padlock Icon
- To Unlock a question (i.e. if you locked a question by mistake, or if you changed your mind), select the Unchecked tag
- Once done, you can either click on Back if you want to return later (the changes will be saved), or click on Progress to progress the Entry to the next stage Award
At this point, the Entry has either been moved – or a child Entry with a new ID number has been created – in the next stage Award.
The entrant can now see their Progressed Entry in their Unsubmitted Entries dashboard. They will notice that answers carried over from the previous stage, which the Admin chose to lock, cannot be edited. However, any new questions added for the new stage of the Award can be answered normally.
If any carried-over questions were not locked by the Admin, the entrant can edit those answers while preparing to submit their newly progressed entry.
If the Admin wishes to unlock previously locked, carried-over questions, for example, to allow the entrant to make changes, they can do so only by unlocking the question on the second stage. At that point, the entrant will be able to make the necessary modifications and resubmit their entry.
