How To Assign Category Using Automation Rules to Viewers

Assigning multiple Entries to multiple Viewers has traditionally been a manual, time-consuming process that required Admins to search for Entries and assign them one by one. In cases where Viewers need customised Entry selections, this approach became inefficient and difficult to manage. The new Entry Distribution feature introduces rule-based automation to simplify and speed up the process, reducing manual effort and supporting fair, flexible allocation of entries to viewers.

How to create an Entry Distribution rule

  1. Go to Automation
  2. Click Add and select Entry Distribution as the Trigger
  3. Complete the rule settings:
  • Name: Select the relevant name
  • Award: Select the relevant Award.
  • Category: Choose the category (or categories) the rule will apply to.
  • Entry Status: Select the entry status (e.g. Submitted, Approved).
  • Criteria: If relevant, choose another rule combining questions from the Form.
  • Dependency: If relevant, choose a method.
    • And – will allow you to complete the action if all the criteria have been met.
    • Or – will allow you to complete the action with at least one of the criteria.
    • Advanced – will allow you to specify the criteria you’d like to combine.
  • Viewers: Select the viewers who will receive the entries.
  • Allocation method: Choose how to divide the entries:
    • Random – divide number of entries equally between the number of viewers in the rule and allocate at random.
      • (Optional) Include Viewing Time: If a Duration field is included in the Form, the system will take this duration field and balance assignments so each viewer gets a similar total viewing duration.
    • By Submission Date – assign entries oldest first.
    • By Approval Date – assign based on approval date, oldest first.

How to Distribute Entries

  1. Go to the Automation Page
  2. Click the … menu and select Run Automation Rule.
  3. A preview table will appear showing:
  • Viewers with Entries assigned
  • Categories Created
  • Assigned Entries, which shows:
    • Entry ID
    • Entry name
    • Viewer name
    • Viewer email
    • Category name

Notes

  • The Distribute Entries option only appears if a rule has been set up for the award.
