How to create an instant entry form

There is an option where a form for an award can be hosted outside of the log in process. Users can be sent a direct link and are not required create an account for access. This type of form has specific use cases and is best used when the submitter needs to remain anonymous and/or for short forms that do not require much data. There are some items to consider with this approach:

  • All entries will be submitted by the same organisation
  • It is not possible for a user to save and return to an entry
  • Videos can not be uploaded
  • The Media Library Questions can not be used
  • Unless specific questions are asked about a user they will remain anonymous

Setting up Instant Entries as an Admin

  1. Go to Actions > Awards
  2. Find the Award you wish to accept instant entries and select Edit
  3. In the Awards Options page, find Allow Instant Entries and select Yes

4. A URL will appear below the Instant Entries box, along with Organisation ID settings.

5. At Instant entry organisation ID set the organisation ID number. An organisation ID number must be provided. Make sure to set up new organisation that can be used specifically for entries for this form. All entries will be submitted under this organisation ID number since users do not have to register for an account to submit.

6. The system will automatically generate an Instant entry URL.

7. You can also overwrite the generated Instant entry URL to make it cleaner to your preference. Go to Instant entry Friendly URL and type in your preference.

8. The Instant entry URL or Instant entry Friendly URL (whichever is preferred by the Admin user) can be used as a direct link to a form and users do not have to create an account or to log in to access the form.

9. Change the Show on Create New Entry Page to No.

10. Create the questions and the categories as you normally would for a project. When the users click on the link they will be taken directly to the entry form you have created.
