How to Enable AI-generated Translations for the Entrant Interface

Nucleus now supports AI-generated translations allowing Admins to easily translate the CMS into over 100 supported languages. This is particularly useful for international Organisations that want to make their Entry process accessible to non-English speaking Entrants. Currently, all Entrant-facing text on the Entrant Interface will be translated automatically when the feature is enabled. This includes all text, question text, select options, help text, and elements that appear on the Entrant Interface.

Currently, all email communications and copy on the Viewing and Admin Interfaces will remain in the language provided by Admins in the CMS. However, this offering will be expanded if there is a demand.

Please note that answers to questions will not be translated and Admins need to request that answers are submitted in a language that is understood by Admin Users. Select Questions can be submitted in the User-defined language, and as the answers are pre-defined, these will be displayed to Admin Users in the language set on the question.

Please note that this feature requires an additional account with one or more of the translation providers. Nucleus can only provide translations for languages supported by one of the providers. For more information on pricing and the supported languages please refer to the documentation provided by each provider:

How the Translations are Created

When the feature is enabled, Users can choose their preferred language on the Account Settings page. Nucleus will begin to translate the pages using the relevant AI platform. To reduce costs, a copy will only be translated when it has been selected by a User. The first time a language is chosen, Nucleus will launch an API call to the translation platform each time a new page is generated. The call is once a minute each time an untranslated CMS appears on a loaded page. The first time a User chooses to translate a copy, they will see the page content language change. The process is quick but it will take at least a minute after the page has first loaded to display the new language. Once refreshed, the newly selected language will replace the previous content.

This process only applies to the first time a language is selected. The translations are stored in the CMS where they can be edited in the future, if required. This process saves translating the content each time a User with the same selected language visits the page. If you anticipate that this will be confusing for Users, it is recommended that an Admin User logs in with an Entrant account and visits all pages in each language to generate the content before the Award opens. In this way, when Entrants will login into the page, they will have access right away to the translated copy.

If the CMS or Questions are updated, the updated copy will also need to be retranslated. This will happen when a User with an untranslated version of the question or CMS lands on the page. When the translation is provided by the API, it will be surfaced to the User.

How to Edit the Translations

AI is still in early stages and, unfortunately, the translations provided are not always accurate. Therefore, Nucleus allows Admins to update the copy manually, if required. To manually edit a translation:

  1. Log into the Admin Interface
  2. Go to Actions>Misc
  3. Click on CMS in the System Administration section
  4. Search for the content using the Language filter and the Content column
  5. Click Edit
  6. Update the copy as required and click Save and Close

How Users Can Set their Preferred Language

Users need to self-select their preferred language, as in most cases this will default to English. This can be done from the Account Settings page once the User has created an account and logged in. After the language has been selected and the page is saved, the User will see the translated copy.

BMT does not provide instructions for Entrants to action this process and it is advised that Admins provide clear visual guidelines for Users to change their preferred language.
