How to Unsubmit Entries for Entrant Updates and Revisions
Nucleus uses four standard statuses: Unsubmitted, Submitted, Approved, and Unsuccessful. Throughout the Awards application process, Entries transition through these statuses, each of which comes with distinct permissions and actions. These transitions occur through a mix of automated actions, Admin triggers, and Entrant actions. One of the key transitions is the unsubmission of Entries by Admin Users, typically allowing Entrants to revise their submissions before resubmission. This unsubmission process may be prompted by an Admin request for additional information or an Entrant’s need to update their Entry.
When an Entry is Unsubmitted, Admins have the option to highlight specific questions that need updating and to include a personalised message in the unsubmission email. To flag an issue, select Flag Issue from the question status dropdown. This changes the question to a lighter yellow, alerting the Entrant upon unsubmission. Highlighted questions will display a yellow alert message on the form, prompting Entrants to address each issue. Entrants must dismiss all alerts and confirm they have resolved all flagged items before resubmitting.
Once resubmitted, Entries appear with a dark yellow highlight on the entry list, signalling to Admins that changes have been made. Additionally, any flagged questions will show as Pending on the Entry Page, clearly indicating to Admins which questions were updated.
How to Unsubmit an Entry
Before unsubmitting an Entry, ensure that the entry/unsubmit email template is correctly configured using the @@rejectReason@@ special value. For further details on setting up email templates, refer to the Email Template Guide. To unsubmit a single entry, follow the steps outlined below:
- Log into the Admin Interface
- Go to Actions>Entries
- Filter for the the required entry
- Click on Edit in the Entry Actions Menu
- On the Entry Edit Page select Flag Issue for all questions that require updating
- Click on Unsubmit Entry
- In the popup write specific instructions to the Entrant about the Unsubmitted Entry. These instructions will appear in the unsubmission email and appear on the Entrant Interface in the Entry
- Click Reject Entry
- An email will be triggered to the Entrant and the Entry will be transitioned to Unsubmitted
Note – Only entries that are in the Submitted status can be unsubmitted
