Report on Entries Across All Awards

The Report Entries Across All Awards is a report which enables admin users to select one or more organisations and export data for all of the entries they have submitted across all awards. This report is useful for admin users who want to run like for like data comparisons across multiple years.

How to Enable the Report

Before the Report Entries Across All Awards can be run admin users need to turn it on in the Configuration Values Section:

  1. Log into the Administration Portal
  2. Go to Actions>Misc
  3. Select Configuration Values listed under the System Administration heading
  4. Search for Enable export entries across all awards in the Name column
  5. Click on Edit
  6. Change the Value to Yes
  7. Click Save & Close
  8. Search for Include all awards in custom reports in the Name column
  9. Click on Edit
  10. Change the Value to Yes
  11. Click Save & Close

How to Run the Report

  1. Administration Portal
  2. Go to Actions>Misc
  3. Select Custom Reports under the Reports heading
  4. Click on Update All Reports Data
  5. Find Report Entries Across All Awards in the list and click Run
  6. Select from the following settings:
    • Include all Organisations – uncheck this box to see a picklist where you can specify the organisations you wish to export or leave checked to include all organisations
    • Include all Awards – uncheck this box to see a picklist where you can specify the awards you wish to export or leave checked to include all awards
    • Entry Status – select the status of the entries you wish to include on the report, All, Unsubmitted, Submitted, Approved. Note any combination can be selected.
    • Include Question Metadata – Check this box to export ALL the metadata provided by the entrants – note this can make the report huge if the question sets chance radically between awards

6. Click Run to generate the export

Note – This report is best used for awards with similar question sets. For each question the data will be exported in a separate column, unless the internal question names match. For awards with very similar question sets the data will be able to be viewed across awards but where the questions names differ you will likely see a report with many columns and there is no easy way to make sata comparisons.
